The Typical Day of a Health & Life Insurance Agency Owner, Executive, & Agent
The typical day for a health and life insurance agent, agency owner, or executive heavily centers around communication. Whether internal or external, communication is essential for the agent, owner, or executive to do their job properly. This communication includes:
- A significant amount of time filing and documenting information
- A few hours of responding to emails and voicemails/answering calls
- At least one internal or external meeting (more depending on the time of year)
To learn more about what makes up a typical day, I asked the experts. I interviewed 5 agency executives to learn more about their workday and how they get stuff done. Here are some of their answers.

What is/are your role/roles at your company?
I am a personal producer and a manager of sales and training for Sams/Hockaday & Associates.

I am a partner, owner, and agent for Capitol Benefits Group.

I own my agency, Duford Insurance, and help my agents become top producers in final expense, Medicare, and annuity sales via training programs, mentorship, and support.

I am the President of Colibri Insurance Services, Inc. As a solo agency owner, I wear almost all of the hats, but I do outsource a few things so I can focus on business development and client service.

I’m involved with both sales and operations for Generous Benefits, a smaller boutique firm. While we are growing both sales and operations, I'm still involved and very entrenched in establishing the culture and vision that will make both roles thrive and grow beyond me.

Sometimes, the best way to set yourself up for success is to plan out how you’ll start and end each day. With this plan, you can find your groove and have a better chance for successful outcomes each day. I asked our interviewees how they begin and end each day and their tips for success.
What is the first thing you do when you get into the office/start your workday?
I log into Trello, which I use to run my personal life, my home, and the operations for both of my businesses to identify the highest impact items I need to accomplish for the day. I also log into AgencyBloc to see what I need to do for my clients and prospective clients.

I review my schedule of appointments and gather the client needs assessment and policy information for the clients I’m supposed to see.

What is the last thing you do before you leave?
I review the following day's goals and call schedule. I like to look at the next day's activities before the workday ends to mentally prepare myself for what to expect.

I try to find things that I didn't finish or haven't handled yet that can be delegated. I'm learning to be better with this task, and I’ve realized that I can lean on my team more and more.

I check my calendar/schedule to ensure I have what I need for my first appointment the following day.

How do you set yourself up for success each day?
We’re still working on this! We are setting up Automated Workflows right now in AgencyBloc to better communicate with our clients more efficiently. Otherwise, I start with lists and check them off.

Get and stay organized. Refrain from distractions.

I plan by 30-minute increments what tasks I'll complete throughout the workday. That way, I accomplish all of my goals and keep myself on track to hitting my big, longer-term goals.

To help you achieve success, it’s crucial to have the right tools in place. We always discuss the importance of having an industry-specific agency management system, like AgencyBloc, to help you work smarter from anywhere. Other key tools our interviewees shared were scheduling tools, enrollment platforms, and video conferencing software.
What are the primary tools you rely on?
We use Trello, AgencyBloc, Calendly, and Ease.

I LOVE Calendly. It’s probably the best scheduling service ever. I also like leadpages.net as I have a recruiting funnel that preps interested agents on how my agency works and answers common questions ahead of our scheduled call.

Lead by example. Practice what you preach.

Service the hell out of your agents. They are your front line, and they deserve respect—especially those who week-in, week-out, perform at high levels. Do everything you can to support them, and they will reward you with lifetime loyalty.

Put the infrastructure in so that you are paperless and can efficiently work from anywhere and still see all of the information you need (your clients, policies, pipeline, open enrollments, commissions, and expenses). It will allow you to scale more easily and make it so much easier to hire, merge, acquire, or sell in the future.

Share your vision. If your team can own your vision, they can carry the charge to get the desired outcomes.
